Booking Procedure, Terms & Conditions

ACTIVITY DAYS

  •  Activity day and activity experience payments are non-refundable and must be paid in full upon booking, to secure the place.
  • We reserve the right to terminate a booking without refund, should participants be unable to follow safety rules, cause a nuisance or damage equipment.
  • The participant’s parent/guardian is responsible for the cost of repairs for any damage caused to our equipment and/or property caused by that participant.
  • All participants need to complete a consent form as part of the online booking, to participate in the activities. Participants under the age of 18 must have a parent/guardian sign to agree to all the general terms and conditions.

2025 Group bookings

Booking Information

  • All bookings are made via info@adventure4you.co.uk
  • Bookings require a contact name, telephone number, email and postal address. Invoices are sent via email.
  • Minimum group sizes of 10 people. Larger groups will be grouped into smaller groups of between 10-12 for activities, depending on the number of people everyone may not do the same activities. Please note there may be more than one group on site for activity day sessions of less than 20 people. A schedule for your visit will be created.
  • To secure the booking there will be a 25% deposit payment for the whole booking required within 14 days.

Deposit payments are non-refundable.

  • Balance payments are required 8 weeks prior to arrival.
  • We reserve the right to terminate a booking without refund, should participants be unable to follow safety rules or risk assessments, cause a nuisance or damage equipment.
  • The group is responsible for the cost of repairs for any damage caused to our equipment and/or property caused by members of that group.
  • All participants need to complete a consent form to participate in the activities. This will require a parent/guardian to sign to agree to all the general terms and conditions for all participants under the age of 18.

Terms & Conditions

Payment Terms  

  • All payments are to be made via Bacs transfer on or before the due date.
  • Deposit payments require 14-day payment to secure the booking.
  • All other payments are strictly 28 days from the date of the invoice.
  • Balance payments due 8 weeks prior to arrival.
  • We reserve the right to charge late payment fees.
  • All prices will be subject to VAT.

Cancellation 

  • All cancellations must be made via email to info@adventure4you.co.uk
  • Cancellation charges
  • more than 8 weeks’ notice of cancellation prior to your date of arrival 50% of the total cost will be charged.
  • less than 8 weeks’ notice of cancellation is given then 100% of the total cost will be charged.
  • The number of places agreed upon at the time of booking may be amended by a few places only up to 8 weeks prior to arrival.

Please note:

  • By making a booking you are agreeing to all Adventure 4 You terms and conditions including payments and cancellations.
  • On occasions the schedule may be changed, we make every attempt to notify you of this before arrival. However, sometimes these changes occur late and we are unable to inform you. We will make a suitable alternative activity, based on the circumstances.

  • If notice of cancellation is more than 8 weeks’ before your arrival date 50% of the total cost will be charged based on the initial number of people booked.
  • If notice of cancellation is less than 8 weeks’ before your arrival date 100% of the total cost will be charged.
  • The number of places agreed upon at the time of booking may be amended by a few places only up to 8 weeks prior to arrival. If less than 8 weeks before arrival date any cancelled places will be charged 100% of the cost.

 

 

General terms for all bookings.

Policies and Procedures

For your protection Adventure 4 You has policies, procedures, risk assessments, and risk benefits analysis in place for all activities. These also include Safeguarding, Child Protection and Health and safety policies. These must be followed whilst on-site and during all activities by everybody. All risk assessments, policies and procedures are available upon request. All staff have enhanced DBS.

Responsibility

Adventure 4 You do not accept responsibility for any loss, damage or injury suffered by persons and/or their property during activities. Please note that Adventure 4 You do not provide insurance cover for personal accident, nor for loss or damage to personal property.  

Food Allergies/Dietary Requirements

The group leader/teacher is responsible for notifying Adventure 4 You prior to your visit of any food allergies or dietary requirements. It is also the group leader/teacher responsibility to make sure children adhere to the food allergies/ dietary requirements.

Insurance

Adventure 4 You have public liability insurance (details available on request). These will be sent with other booking information.

Learning outside the classroom (LOtC) / Adventure Mark

Adventure 4 You hold the Learning Outside the Classroom (LOtC) badge (105038) and we are approved by Adventure Mark (AAA101627). The LOtC badge indicates our ongoing process to sustain high-quality learning outside the classroom experiences and confirms we met all of the Learning Outside the Classroom Quality Badge indicators. Adventure Mark establishes we have met the necessary standards for the safe delivery of adventure activities as defined by the Adventure Activities Industry Advisory Committee.

General data protection. 

Information given on booking forms may be stored on a secured drive and will be used only for the purpose of centre administration. The details will not be released to any third party. Our GDPR policy is available on request.

Photography / Video

Adventure 4 You staff may photograph or video those taking part in activities where consent has been given and may use and/or store this media for coaching and/or promotional purposes.

Alcohol / Illegal substances / weapons

Individuals will be excluded from the site without refund if we are of the opinion that the person is under the influence of alcohol or illegal substances or has brought a weapon onto the site.

Smoking / Vaping rules

In the interests of safety, we have a no-smoking/vaping policy in any building/area on site.
